Your privacy matters to us. We built HostelBook to help you manage your hostel, not to mine your data. We don't sell your information, don't share it with advertisers, and don't use it for anything other than giving you a great service.

What We Collect

Account info: Name, email, and hostel name when you sign up.

Business data: Students, rooms, invoices, expenses, and other operations data you enter. This belongs to you.

Usage data: When you log in, which features you use, and how you interact with the platform. Helps us improve.

Technical data: IP address, browser type, device info. Standard for security and support.

Waitlist

What you give us: Your email, and optionally your city, when you join a waitlist.

What we record automatically: Your IP address and the approximate location (city, region, country) derived from it, your device and browser info, the page that referred you, and any campaign tags in the link you clicked.

Why: So we can email you when the product launches and understand where interest is coming from. We don't sell this information or share it with advertisers.

How We Use It

We use your information to provide, maintain, and improve HostelBook. Processing requests, storing data securely, making the platform work.

We may send important updates about your account, service changes, or security alerts. These are essential, not marketing.

We analyze usage patterns in aggregate to build better features. We never look at individual data for this, and never share it with third parties.

How We Protect It

Industry-standard encryption in transit and at rest. Passwords are hashed, never stored in plain text.

Regular backups. Secure data centers. Continuous monitoring for suspicious activity.

Team access on a need-to-know basis with strong authentication and audit logs.

No system is 100% secure. If we discover a breach that affects you, we will notify you immediately.

Data Sharing

We don't sell your data. We don't rent it, share it with advertisers, or use it to build marketing profiles.

We work with trusted service providers (hosting, payments) bound by strict agreements to protect your data.

We may share information if required by law. We will try to notify you first unless legally prohibited.

Your Rights

Access: View, edit, or delete your data anytime through account settings.

Export: Download all your data in a standard format whenever you want.

Delete: Delete your account anytime. We keep backups briefly in case you change your mind, then permanently delete everything.

Opt out: Unsubscribe from marketing emails. You will still get essential account and security notifications.

Cookies

We use cookies to keep you logged in, remember preferences, and understand usage. Essential for the platform to work.

We also use third-party analytics cookies from Google Analytics and Microsoft Clarity to understand how the site is used (see Analytics and Microsoft Clarity below). We don't run our own ad networks and we don't sell your data to data brokers.

Analytics and Microsoft Clarity

Microsoft Clarity: We partner with Microsoft Clarity to understand how you use and interact with our website through behavioral metrics, heatmaps, and session replay, so we can improve our product. This data is captured using first- and third-party cookies and other tracking technologies, and is used for site optimization, security, and to understand which features are popular. By using this site, you agree that we and Microsoft can collect and use this data. For more on how Microsoft collects and uses your data, see the Microsoft Privacy Statement.

Google Analytics: We use Google Analytics 4 to measure aggregate traffic, such as page views and which calls-to-action people click, so we can improve the site. We don't use it to identify you individually.

These analytics tools only run on our live website, never in local development.

Children's Privacy

HostelBook is for business use by adults. We do not knowingly collect information from anyone under 18.

Changes to This Policy

We may update this policy as practices evolve or laws change. Significant changes will be communicated by email or in-app notice.
